  • Logistics/ Expediting Officer

  1. -SOUS LA RESPONSABILITE DU / REPORT TO :
  • SUPPLY MANAGER

  1. -MISSION / MISSION ( OBJECTIVES)
  • Control all aspects of Logistics for All site within Petowal Mining Company. Including application for Import/Export, Exonerations, scheduling of deliveries by communicating with Brokers, freight forwarders Government Agencies etc and by sending through reports in correct format to site making sure complete and correct communication. On time. On spec, at lowest cost to PMC.

  1. -TACHES ESSENTIELLES / ESSENTIAL DUTIES
  • Report any theft or planned theft of Company property.

  • Importations – Opening files, Data Capture Excel, Files Updating, Apply for Import Licence, sending the Import Licence to requester, Asking Freight Forwarder and brokers follow up and send through to Supply Manager or his Delegate.

  • May be required to go to other sites to relieve for leave and be Responsible Management.

  • Exportations – For All sites and from time to time Assist at the Port Opening files, Data Capture in Excel, files Updating, Apply for Export Licence follow up with F/F.

  • Check Packing lists & Invoices for correctness, check BL & AWB prior to shipment of any freight.

  • Check the correct procedure/Documentation is followed for the Despatch of any Parts or Machinery from site so no hold up with Export requirements.

  • Export Arrange vehicle with transporter, schedule with Lifting Team, make sure all documentation is fulfilled, expedite until at Destination.

  • Follow up and ensure vehicle car registration renewal plate’s etc Insurance renewal follow up for registration stickers and advise in report.

  • Advise Importations checking program and forward reports to Supply Manager or his Delegate.

  • Assist with Exonerations – Fuel, Oils. Assist with forecast with machine numbers for Fuel & Lubricants to Government Department DGM for Exoneration & Audit requirements.

  • Ensure equipment that is purchased locally or internationally is delivered in a timely manner and in accordance with Company Policy and Procedures liaise between Port and site and F/F.

  • Ensure all documentation for Logistical requirements are in place for offsite repairs and follow up with Warehouse Supervisor and end user.

  • Abide by all Exoneration rules and laws in Senegal at all times.

  • Ensure Expediting of all goods and services procedures are followed and aim for best practice.

  • Assist and ensure Expediting is completed in the absence of the Company Expediting Officer.

  • Evaluate the Expediting of all goods and services procedures are followed and aim for best practice.

  • Create Daily Reports on Expediting direct from SUN - EAM.

  • Resolve disputes between site and suppliers on goods invoiced – not received.

  • Take action to prevent damage to company equipment.

  • Identify and eliminate or report any wasteful practices.

  • Ensure that goods invoiced not received report is done weekly and send to Supply Manager and his Delegate.

  • Ensure all Documentation requirements are in place following all Senegal Government guidelines and all administrative duties are completed for Imports/Exports and follow best practice and legal requirements.

  • Liaise on a daily basis with all Logistics service providers both locally and overseas.

  • Provide a report to the Supply Manager on a weekly/Daily basis for all outstanding Sea Freight and Airfreight via: SUN - EAM and Spreadsheets.

  • Ensure all Administration associated documentation for Freight of items both locally and internationally are completed according to both Australian and Senegal auditing guidelines and best practice.

  • Produce Reporting process reference Freight Forwarders, Transporters for all Non Conformance and submit for to the Supply Manager or his Delegate.

  • Run appropriate reports in SUN – EAM system as and when required.

  • Audit and control of all freight forwarders and transporters.

  • Timely and accurate reporting of all daily/weekly/monthly reports.

  • Must have weekly meetings with Supply Manager and Logistics Team on site/Dakar reference priority report.

  • Understand the objectives of other Departments from weekly meeting with planning and refer any disagreement to the Supply Manager or his Delegate.

  • Assist the Supply Manager in developing operating procedures and systems for Department.

  • To work on site and give Logistical Support for the Department.

  • Ensure deadlines and objectives are achieved in an efficient manner.

  • Ensure Document control is managed at Department Level both Computerised and Manual systems are dated and appropriate filing is made available/accessible to customs and all Government agencies for auditing purpose when required.

  • Liaise with Supply Manager Reference any audit notifications.

  • Ensure all emails are sent to site are in English for ease of understanding by Executive Management Team.

  • Check Delivery Documentation from Antrak/Bollore, Panatrans, DHL etc. and Check delivery notes from Local Suppliers for correctness etc.

  • Ensure the correct procedure is followed to Despatch items from site – Arrange vehicle from Local carrier in Dakar and Liaise with site warehouse Team.

  • Follow up with all insurance claims with the insurer and arrange site visit as and when required and liaise with Supply Manager or his Delegate.

  • Ensure Maintaining Priority Transit Report is up to date.

  • Work on GIT to ensure that goods invoiced not received report is completed and that the price is controlled and continues to be monitored and sent in report to Supply Manager.

  • Liaise on a daily basis with all logistics service providers both local and overseas.

  • Evaluate performances of suppliers, Freight/Transport and logistics service providers via reports & report to Supply Manager.

  • Arrange for the transportation of materials from both local and International companies, including liaising with various national and international freight forwarders and shipping companies.

  • From time to time be present during unloading of shipping containers on site.

  • All online tracking must be continually checked and formulated into a report.

  • Liaise with customs and clearing agents and apply for Import License as and when required.

  • Ensure that all Archiving of Documentation is completed correctly according to Senegal Law and company policy.

  • Ensure filing of Documentation is completed correctly and by company policies.

  • Ensure Pre-Inspections are completed with nominated items.

  • Ensure Airport follow up/ check + physical check Airport for Urgent Freight is done.

  • To visit Dakar at least once per month & as arranged by Supply Manager or his Delegate.

  • To assist All sites with all Logistical Support as and when required.

  • Other tasks as directed and within your ability and within the Logistical support for All site operations.

  • Minimum 5 years’ experience in logistics preferably 5 years mine site experience.

  1. -FORMATION (acquise ou à acquérir) / EDUCATION LEVEL (GRADE)
  • Education must have BAC +3 – Logistics Degree

  • Advanced computer skills - Excel & SUN - EAM, Word, and Outlook.

  • Advanced - Degree level in English.

  • Driving License

  • Ongoing training : (Logistics) International Certification
